Welcome to the Group travel service - Hotels.com website (the "Website"). The terms "we", "us", and "Hotels.com" refer to Hotels.com, L.P., a Texas limited partnership and/or our subsidiaries. The term "you" refers to the customer visiting the Website and/or requesting a group reservation through us directly through this Website, or indirectly through any of our affiliates through whom we provide services. All bookings you book through us are subject to the following terms, conditions and notices as they exist at the time the booking is made. We reserve the right at any time, at our sole discretion, to change or otherwise modify the Agreement without prior notice, and your continued access or use of this Website signifies your acceptance of the updated or modified Agreement.


As a condition of your use of this Website, you warrant that

1. you are at least 18 years of age,

2. you possess the legal authority to create a binding legal obligation,

3. you will use this Website in accordance with this Agreement,

4. you will only use this Website to make legitimate reservations for you or for another person for whom you are legally authorized to act,

5. all information supplied by you on this Website is true, accurate, current and complete, and

6. if you have an Hotels.com Group Sales account, you will safeguard your account information and will supervise and be completely responsible for any use of your account by anyone other than you. We retain the right at our sole discretion to deny access to anyone to this Website and the services we offer, at any time and for any reason, including, but not limited to, for violation of this Agreement.


Once you have requested a group reservation, our group travel services partner, Lexyl Travel Technologies Incorporated, operating under the name HotelPlanner (“HotelPlanner”), will arrange for this request to be sent to multiple hotels. Each hotel will respond individually to your request, either in your local language, their local language or in English, by emailing you directly with their group rates and availability. You can view all your responses received from hotels by logging in to your Hotels.com group reservations account through this website (groups.hotels.com/Login/). Once you receive responses from hotels, you will be responsible for contacting the hotel as per their instructions to finalize all details regarding your group reservation. Offers made by hotels to you in their email responses and any bookings you make with them will be subject to the terms and conditions specified by the hotel, including but not limited to: (a) the time frames for which the offers are valid; (b) payment terms; (c) cancellation terms; and (d) incidental charges terms.

Hotels.com Gift Cards cannot be used on bookings made through Group Travel Services


If you are a resident of the U.S. or Canada, you may be eligible for a cash back rebate on your hotel booking. A hotel's email response to your group reservation request will note if you're eligible for a cash back rebate in the offer comments. If you are eligible, the offer comments will contain a cash back rebate estimate. If there is no estimate of a cash back rebate, you will not be entitled to a one. Cash back rebates are strictly an offer from Hotels.com's Group Travel Services partner, Lexyl Travel Technologies Incorporated (Lexyl). Cash back rebates are not offered and will not be provided in whole or in part by the relevant hotel or Hotels.com and neither the hotel nor Hotels.com will have any liability in relation to any cash back rebate.

In order to apply for a cash back rebate, after you have checked out of the hotel, you will need to do the following:

  • Gather your group check out report (a.k.a. final pick-up report) or all receipts from the hotel for rooms under this group. Lexyl can only rebate for consumed rooms with proof by means of a receipt or group check out report.
  • Record your request id
  • Specify the address to which Lexyl should mail the rebate.
  • Please mail all items above to the following address no later than 30 days after your hotel check out date and you will receive a check for the documented consumed hotel rooms within 30 to 105 days following your check out date.

The cash back estimate you receive in your bid comments for a particular hotel is based on the full amount of the rooms requested at the specific hotel bid amount. The rebate estimate in your bid comments is an estimate of the total rebate and not per room. The rebate will only be honored for actualized/consumed and documented rooms. Rebate may fluctuate based on actualized hotel room nights booked or documentation in the form of receipts or confirmed group check-out report. The maximum rebate is $250 USD per group stay for all rooms requested at the specific hotel. Rebate requests must be received no later than 30 days after the hotel check out date. Only purchases by end-user customers with a valid U.S. or Canadian mailing address are eligible. Rebates will only be sent to addresses in the United States or Canada. The rebate will not be honored in the event the relevant hotel goes out of business, changes management during the 1 month period after the hotel check out date, or denies receiving payment from you/your group. Void where prohibited or restricted by law. All rebate claims are subject to Lexyl's final review and approval. End-user customer should keep copies of all rebate submission documents; all documents submitted to Lexyl become the property of Lexyl and will not be returned. Lexyl retains the right to request additional information when processing a rebate submission request. Lexyl is not responsible for lost, late, missing, or illegible rebate submissions, misdirected or misaddressed submissions, or for postage due submissions. Only the actual purchaser of the qualifying product may submit a rebate claim. If the end-user customer fails to meet any of the rebate terms and conditions, no rebate will be issued. All rebates will be paid in U.S. Dollars. In order to accept the rebate, end-user customer must cash or deposit the rebate check no later than the date stated on the check. Applicable tax, if any, is the sole responsibility of the end-user customer. These terms and conditions relating to cash back rebates may be amended from time to time by Lexyl; end-user customer must acknowledge and accept the current cash back rebate terms and conditions at the time a rebate claim is submitted.


Neither Hotels.com nor HotelPlanner accepts any responsibility for any actions or omissions of any hotel, airline, car rental company or other travel related company and disclaims liability for actual, incidental, or consequential damages caused by these entities or by Hotels.com or by HotelPlanner.
